Volunteers - TechFair 2007

There is always a lot to do at any event and volunteers are always needed.

The Volunteer Coordinator

Volunteers will be entered in a special drawing for special prizes such as Windows Vista, Office and other high-end software ... just like last year. Last years volunteers won at least 10 major software titles ... and 10 out of 20 are pretty good odds. There are over 22 positions available for people to volunteer which include the following:

TechFair Coordinator / Committee Chairperson:

This person will be in charge of everything.

Planning Volunteer:

This person will help do room diagrams and layouts using Visio, documents using Microsoft Word, and spreadsheets using Microsoft Excel.

Vendor / Sponsor Volunteer:

This person will call sponsors and vendors seeking event sponsorship, advertising sponsorship, vendor tables, and other forms of sponsorship.

Vendor Table Volunteer:

This person will manage the vendor tables in the auditorium of the Bahia Shrine. This person will also help sell vendor tables. This person will maintain the visio and other diagrams, spreadsheets, and other documents required to coordinate, track, change, and manage Vendor Tables. These are their only functions.

Presentation Coordinator:

Call speakers to give presentations at TechFair. There will be 6 meeting rooms with presentations every hour for 8 hours ... that is 48 presentations!

Local Prize Volunteer:

This person will solicit local vendors for prizes ... CompUSA, OfficeDepot, OfficeMax, Best Buy, Circuit City, Cheap Guys, etc.

National Prize Volunteer:

This person will solicit international companies for prizes ... Microsoft, OReilly, Logitech, D-Link, Linksys, etc.

Welcome Bag Volunteer:

Calls sponsors and vendors to get Welcome Bags and goodies to go in the Welcome Bag. Fill and setup Welcome Bags. Very important

Registration Volunteer:

This person will help maintain the attendee database, print nametags, and give out welcome bags. Very important.

Payment Volunteer:

This person will collect payment for registration only and assist the treasurer.

Drawing Volunteer:

This person will sell drawing tickets: laptop drawing, prize drawing, 50/50 drawing. This person will keep track of all tickets sold and help during the awarding of prizes.

Drawing MC:

This person will MC the awarding of prizes.

Indoor Sign Volunteer:

This person will make all of the indoor informational and directional signs for the event. This person will also place the signage.

Outdoor Sign Volunteer:

This person will make all of the outdoor informational and directional signs for the event. This person will also place the signage.

Hall Monitors:

This person will be knowledgeable of events and locations and guide attendees where they want to go.

Room Monitors:

This person will be responsible for making sure the room audio/visual/computer equipment are setup and working properly for presentations.

Vendor liason:

During the event, this person will maintain constant contact with vendors to ensure their needs are met

Key Note speaker escort:

This person will help to obtain key note speakers as well as escort them before, during, and after the event to ensure their needs are met.

Event MC:

This person will get to announce events and prizes at least every hour and at the end of the event.

Parking Monitors:

This person will ensure people park in designated areas and ensure an overall pleasant parking experience

Evaluation / Critique Volunteer:

This person will handout and collect an event critique and compile the results.

After Action Report Volunteer:

This person will work with all volunteers to compile an After Action Report designed to improve future events.
